Job Description: ESSENTIAL FUNCTIONS Manage applications, reporting, and compliance for all organization grants: • Write grant applications and compile required materials for grant applications. • Track data, run reports from data management system for monthly, quarterly, and annual grant reporting, • Develop, prepare and distribute grant funded program reports to communicate results, achievement of deliverables and outcomes to comply with donor reporting requirements. • Coordinate and ensures staff adhere to funding policies and procedures. • Stays abreast of changes in foundation funding with attendance at seminars/trainings as needed. • Develops relationships with foundation program officer(s) and other grant maker representatives. Responds to requests for information and provides reports or documentation for donors in person, via mail or email. • Search for new grant opportunities to fulfill agency needs. • Coordinate with agency partners to collect necessary data for grant reporting that involves partners; and maintain relationships with partners for future grant opportunities. • Manage and maintain all agency credentials with local, state, and federal funding sources, including, but not limited to: DUNS, SAMS, Grants Gateway, GMS, etc. Provide support as part of Organizational Development Team • Work with CEO and administrative staff, to plan and implement strategies for fundraising. • Coordinate agency needs with data management system for tracking data, building and running reports with database company associates • Assists with ongoing fundraising database management. • Assists with planning and execution of fundraising events: VEV, Mosaic, Holiday, tours, etc. Completes Accounting & Financial Duties. • Prepares and delivers bank deposits. • Enters gifts in Donor Perfect, maintains files for Stripe/Smile/Benevity/etc. • Generates daily reports for CEO and United Way. • Prepares thank-you letters to donors; mails letters. • Manages check requests, and financials / reconciliation with United Way. • Manages Petty Cash. • Coordinates monthly and annually, with Board Treasurer and United Way accounting for grant funding allocation of staff salaries and agency expenses. • Attends monthly Board of Directors meetings and Sustainability committee meetings, to inform and update on progress of grants and monies. Provides with Organizational Support. • Manages annual file rotation for financial files. • Manages monthly Board documents with/for CEO, including client surveys and data. • Assists with administrative maintenance, as needed, directed by Operations Manager. Can include assistance with shredding of old documents, rotating files, and the like. • Facilitates shredding of old documents. • Receives and sorts incoming mail for all locations; prepares outgoing mail, packages/pick-ups. • Maintains Postage meter. • Purchase and inventory parking passes with vendor on a weekly basis. Act as key staff person for parking and billing with Priam/BCAR, etc. • Order, inventory, and organize office supplies with contracted vendors. Source new vendors as needed for competitive pricing and discounts. OTHER JOB DUTIES • Assist with administrative duties as needed • Report to and perform all other duties as assigned by CEO • Engage in a collaborative working relationship with a funders and potential funders
Required Qualifications: REQUIREMENTS/QUALIFICATIONS • Bachelor’s degree in business, human services, or related field • Strong grant writing skills (examples will be requested prior to interview) • Exceptional written, interpersonal, and communication skills • Able to multi-task, respond to rapidly changing situations; organize, prioritize, and perform work with minimal supervision • Able to work in a team and independently • Highly organized and very effective time management skills • Understanding or experience working with domestic violence is a plus • Proficient in Microsoft Office • Familiarity with Donor Perfect or other fundraising software a plus TRAVEL • Travel in WNY, including travel to all FJC locations and throughout Erie County as needed.
